CoachQPrivacy Policy
CoachQ is an AI youth-soccer practice planner operated by Upstate Leis LLC (“CoachQ”, “we”, “us”). CoachQ is currently in beta. This policy explains what information we collect, why, and the choices you have. It applies to the CoachQ website and app at coachqapp.com.
Information we collect
- Account information. The name you enter and the invite code you use to sign in.
- Usage information. How many practices you build, adjust, save and print, when you were last active, and the title of your most recent practice. We use this to run and improve the app.
- Saved teams. If you save a team (A, B or C), we store only its age group and coaching level. There are no fields for team names, player names or rosters.
- Feedback. Answers and comments you submit in the beta survey.
- Practice inputs. The choices and text you enter to build a practice (such as age group, number of players, session length, field size, equipment, training focus, and the notes you type about a team problem). These are sent to generate your plan (see “AI processing”). We do not keep the text you type as a record on our servers.
- Technical information. Our hosting provider and our server receive standard request information such as IP address, browser type and timestamps. We use this for security, rate limiting and troubleshooting.
- Usage and cost records. For each plan generated or adjusted we record the invite code, the type of request and the amount of AI processing used, so we can manage costs and fair use.
What stays on your device
Your saved practices, in-progress drafts and sign-in details are stored in your own browser (local storage) on the device you use. They are not stored on our servers. If you clear your browser data or switch devices, they will not follow you.
How we use information
- To provide CoachQ, including generating, adjusting, saving and printing practice plans.
- To keep the service secure, prevent abuse and enforce fair-use limits.
- To understand how the beta is used and to improve it, including responding to your feedback.
- To contact you about your access or about important changes to CoachQ.
We do not sell your personal information, and we do not use it for advertising.
AI processing
To create a practice plan, CoachQ sends your practice inputs to Anthropic, the provider of the Claude AI model, through its API. Anthropic processes that content to return the plan. Please don’t include names or other personal details about players in the text you enter. See Anthropic’s privacy policy for how it handles data. AI-generated plans can contain mistakes; see our Terms of Service.
Who we share information with
- Service providers that help us run CoachQ: Anthropic (AI processing) and Render (hosting and database). They process information only to provide their services to us.
- Legal and safety. We may disclose information if required by law or to protect the rights, safety or security of CoachQ, our users or others.
- Business changes. If CoachQ is involved in a merger, acquisition or sale of assets, information may be transferred as part of that transaction.
Children’s privacy
CoachQ is intended for adult coaches and is not directed to children. We do not knowingly collect personal information from anyone under 18, and the app does not need player information to work. If you believe a child’s information has been entered, contact us and we will delete it.
Cookies and tracking
CoachQ does not use advertising or analytics cookies. It uses your browser’s local storage to remember your sign-in, drafts and saved practices, as described above. Fonts are loaded from Google Fonts, which may receive your IP address when your browser requests them.
Retention and your choices
- We keep account, usage, team and feedback information while your access is active and for a reasonable period afterwards.
- You can ask us to access, correct or delete the information we hold about you, or to close your access, by emailing us at the address below. We will respond within a reasonable time.
- You can clear the data stored on your device at any time by clearing your browser’s site data.
Security
We use reasonable technical and organizational measures to protect information, including encrypted connections (HTTPS), access controls and rate limiting. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Changes to this policy
We may update this policy as CoachQ develops, for example when paid plans and accounts are introduced. We will change the “Last updated” date above and, for significant changes, tell you in the app or by email.
